Part-time MI Administrative Assistant
Medical Interactive

Position Summary: Responsible for coordination of Medical Interactive (MI) events. Provides administrative support for Medical Interactive.

Reporting Relationship: Reports directly to the Business Development Manager; will also take direction from MI’s VP of Operations

Education, Experience and Skills Required:

  • Works in a cooperative manner with management, coworkers, customers, and vendors;  supports LAMMICO’s mission and vision in daily operations
  • Meets assigned target dates and objectives; helps ensure that department quality, service, and productivity standards are met
  • Provides Administrative support for MI
  • Coordinates all logistics for Medical Interactive for external events:
    • National and Regional Conferences
    • Conference vendor registration and booth coordination
    • Booth delivery
    • Promotional items needed
    • State based medical organizations and medical society events
  • Maintains master calendar of all conference events and ensures conference deadlines are met
  • Serves as Image Right department coordinator and submits staff and vendor expenses for payment
  • Coordinates department meetings and activities 
  • Tracks and assists with updating trade association agreements and yearly memberships
  • Maintains current medical society/association corporate mailing lists
  • Provides customer service or directs customer to appropriate MI staff to respond to customer needs
  • Receives and directs incoming telephone calls and emails (info@medicalinteractive.com)
  • Responsible for ordering, maintaining, and distributing promotional item and department supplies
  • Posts on MI social media accounts as directed

Secondary Functions/Responsibilities:

  • Other responsibilities and special projects as assigned

Education, Experience and Skills Required:

  • High school diploma
  • 3-6 years’ experience as a marketing or administrative assistant or other related experience
  • Strong customer focus and team orientation
  • Ability to appropriately handle confidential or sensitive company information
  • Excellent communication skills with the ability to interact and work effectively with employees at all levels within the organization
  • Ability to manage time, set priorities, and work independently
  • Proficiency in the use of Microsoft Office Programs

Education, Experience and Skills Desired:

  • Insurance or healthcare industry experience within sales environment
  • Working knowledge of SalesForce
